Create Online Contests with Eventora

Here’s how to create and set up contests (or submissions) with online evaluation by judges:

1. Setup and Start Receiving Submissions

  1. Set the contest deadline and evaluation dates.
    Contest > Settings
  2. Configure the submission form. (See more details here)
    Event > Setup > Registration Form
  3. Add categories/topics.
    Contest > Setup > Categories
  4. Customize email messages and web page texts.
    Contest > Setup > Pages
    At this stage, you can optionally customize the following:
    - Submission Page Header: Text that appears at the top of the submission page.
    - Submission Completion Page: E.g., a page that says "Thank you for your submission."
    - Reviewer View Submission: The page displayed for reviewers to review the submission.

2. Preparing the Evaluation System

  1. Define evaluation criteria.
    Contest > Setup > Evaluation Criteria
  2. Optionally, customize email templates.
    Contest > Setup > Emails
  3. Optionally, set terms that reviewers must agree to in order to view their assigned submissions.
    Contest > Setup > Reviewer Terms
  4. Set up the reviewers team.
    Contest > Setup > Judging Team
  5. Assign submissions to reviewers.
    Contest > Setup > Assign
  6. Send invitation emails to reviewers to start the evaluation.
    Contest > Setup > Judging Team > Send Invitation
This step can be skipped initially but must be completed before evaluations begin.

3. Reviews, Final Decisions, and Result Announcements

  1. Go to Contest > Reviews.
  2. Results for each submission will be automatically sent to the participants.

More details on the submissions menu:

  1. Submission Link: To embed the submission form on your website, go to Contest > Link.
  2. Team Roles:
    - Reviewers: Can access and score submissions. They can leave comments for Supervisors and Admins, and for Participants only after Admin approval. They can also suggest category changes.
    - Category Supervisors: Can access, score, change categories, and make final decisions.
    - Chief Editor: Can perform all the actions above, as well as modify message templates for result announcements and send emails to participants and supervisors.
    - Submissions View Only: Can only view submissions.
  3. Entries: List of all submitted entries, available only to administrators. To download the report in Excel format, click the Export button at the top right.
